Share a link to any view
- Purpose
- Send a colleague a link to a tab (also called a view) or an open record, and know what they will see.
- Who is this for
- Everyone
- Permissions
- Anyone who can sign in to your workspace and has access to the data. A link never grants access.
Most places in Gembaa have an address you can copy: each tab, each open record and each section of a record. There is also a Share… action that turns one of your tabs into a link anyone in your workspace can open.
How it works
| What you want to share | How | What the recipient sees |
|---|---|---|
| A tab as you see it (columns, filters, sort) | Share… on the tab | A read-only copy of the tab, with an option to save it |
| The page you are on, with a record open | Copy the address from your browser | The list with that record’s panel open |
| A tab for yourself (bookmark, second window) | Copy the address from your browser | The same tab, for you |
Share a tab
- Right-click the tab and choose Share…. The Share this view dialog opens and shows the link. The link is already on your clipboard.
- Paste it into a message or email, then click Close.
Share… is available on module tables such as Projects or Staff, on any tab including All. On Gantt, OKR, Allocation, RAIDD and Pulse the menu item reads Share… (coming soon) and is greyed out, with the reason "Sharing isn’t available on this page yet." The Skills matrix and dashboard tabs have no Share… item.
The link carries a snapshot of the tab at the moment you shared it. If you share the tab you are on, the snapshot includes any changes you have not saved yet. If you change your tab afterwards, people who already have the link still see the earlier version. Share again to send the new one.
Open a shared view
When you open a shared link, the table appears with a banner in place of your tab row: "Viewing a shared view:" followed by the tab's name. You see the sender's columns, filters and sort.
- The layout is read-only while you preview. Your own tabs are not touched.
- Click Save a copy to add the view to your own tabs as a new tab you can edit. The preview then ends.
- Click Exit to leave the preview and go back to your own tabs.
Anyone who can sign in to the workspace and has the link can open it and save a copy. The rows they see still follow their own access.
Share by address
The address bar always reflects where you are:
- The open tab is in the address, so a bookmark or a second browser window returns you to the same tab.
- Your own tabs belong to you. A tab address you send a colleague will not find your tab on their side, so Gembaa opens their All tab instead. Use Share… to send a tab.
- When a record panel is open, the record is in the address too, along with the section you are on. A record opened from inside another record (a task from a project, for example) is included, so the whole chain reopens.
- Closing the panel removes the record from the address.
Your own filters and sort live in the tab, not in the address. To share a filtered view, use Share… on the tab.
Because tabs are real links, the usual browser shortcuts work:
- Middle-click a tab, or hold Ctrl (Cmd on a Mac) and click it, to open it in a new browser tab.
- Hold Shift and click to open it in a new window.
- Middle-click or Ctrl+click a row in a table to open that record's panel in a new browser tab.
- Right-click one of your tabs and choose Open in new tab.
When a link fails
A link does not give anyone access. Access rules are the same as in the app.
- If the record is one you may not see, or it no longer exists, the panel opens and says "You don't have permission to view this, or it may not exist." The message is the same in both cases on purpose. The link stays in the address until you close the panel. It starts working as soon as an admin gives you access.
- If a tab in the link does not exist for you, you land on the All tab (or the first tab, on pages without one).
Good to know
- Sharing a tab shares its layout, not the data. What the recipient sees in the rows depends on their own access.
- Dashboard tabs, Administration tabs and the other tab rows in Gembaa also have addresses you can copy and open in a new browser tab.
- The Gantt chart row panel and table widgets on a dashboard do not put their open record in the address.
