Everyone

Released 27 October 2026. Release 2.3.0 follows 2.2.1, which was released on 13 October 2026. You can now comment on any record, admins can switch on typed links between records (a Beta feature, off until an admin turns it on), and admins decide when Gembaa staff can see inside your workspace. Pulse now works on Tasks.

  • Record links (Beta). Admins can turn on typed links between records, such as one task that blocks another. In Administration → Features, switch on Record links. It carries a Beta tag, which means it is still being built and may change between releases, and it is off by default. With it on, the Relations tab gets Link existing…, the Gantt shows arrows between linked bars, and Link types appears in the Administration menu. See Link records and Turn features on or off.
  • Relations tab. A record's related records now sit together on one Relations tab, grouped as the parent, the records beneath it, Milestones, RAIDD entries, Objectives, and Linked records. It replaces the separate child tabs, such as Projects on a Program and Tasks on a Project, and the old Related tab. Use Search links by name, Filter and New at the top. See Link records and The record panel.
  • Link existing… With Record links on, choose Link existing… on the Relations tab, pick a Link type and a record, then click Link. This replaces the Add link menu. Set parent and Replace parent are gone. To move a record to a new parent, double-click its parent cell in the table, or use Edit. See Link records.
  • Change or remove a link. Each row on the Relations tab ends in a Link actions button (⋯). It offers Remove link, and Change link type… for typed links. A link you cannot remove stays in the menu, greyed out, with a hover hint that says why. See Link records.
  • Link arrows on the Gantt. With Record links on, links show as arrows between bars and milestones. An arrow turns red when the dates conflict. Under Customise → Gantt → Links, choose Selected, All or Off. Admins can add a link by dragging from a bar's round handle onto another bar, and remove one with Unlink. See Gantt.
  • Link types page. Admins manage link types, such as Blocks, Relates to and Duplicates, under Administration → Link types. The page shows only while Record links is on. See Link types.
  • Comments on any record. Open a record and click Comments in the panel header to start a thread. You can reply, mention colleagues with @, react, and edit or delete your own comments. Admins can turn comments off for a record type in Administration → Features. See Comment on a record.
  • Gembaa staff access, set by your admins. Under Administration → Support, admins choose whether Gembaa staff can see or change anything in your workspace, and for how long. The levels are Unauthorized (the default), Masked, Unmasked and Full control. Admins can end a session at any time with End session, and read every grant and staff sign-in in the Support History. See Support and Gembaa staff access.
  • Pulse on Tasks. Tasks now have a Pulse tab, with the indicators Schedule, Scope, Quality and Risk. An admin turns it on in Administration → Features → Pulse. See Pulse.
  • Pulse expiry. On the Pulse card of Entity & fields, the Default cadence setting is replaced by Expiry: how many days before a check-in expires, and how many days before that you are warned. At the foot of a record's Pulse tab, the gear (Edit expiry) sets different numbers for that one record. See Pulse.
  • Request update. On the Pulse page, Request update lets you pick records and write a message asking for a check-in. Each chosen record shows Update requested in red until it is next updated. No one is sent a notification. See Pulse.
  • Review fields while adding a check-in. Admins can tick Review during pulse entry in a field's settings. Add check-in then has a second page, Fields to review, to confirm or change those values. See Pulse and Entities and custom fields.
  • Aggregate field. A new field type, Aggregate, shows how linked records spread over a Status or Select field, as a coloured bar. Add one with Add field → Aggregate. It cannot be used in a formula. See Field types and Entities and custom fields.
  • Choose which fields the Add dialog shows first. In a field's settings, tick Always show during creation. Fields that are not ticked wait behind Show all fields when someone adds a record. See Entities and custom fields and Create, edit and delete records.
  • Renaming a field is safe. Admins can rename any field, including built-in ones such as Start date or Status. Gantt bars, saved tabs, preset tabs, formulas and access that comes through a parent record keep working. Settings saved against a field renamed before 2.3.0 are not recovered. See Entities and custom fields.
  • Allocation totals. In Customise, Column totals and Row totals are now Column aggregation and Row aggregation, and cells name the function they use, such as Sum or Max. A new switch puts the row figure On the left or On the right of each row. See Allocation.
  • Skills tab on Staff. Current role and Target role are now edited at the top of a person's Skills tab. In the chart, Customise lets you show or hide the person's skills, their current role and their target role. See Skills.
  • Session warning. The sign-out warning is now titled Still there?, counts down the time left, and has Sign out and Stay signed in buttons. It opens five minutes before you are signed out, and pressing Esc or clicking outside it no longer signs you out. See Sign in and your account.

Smaller additions

  • One Filter button. Tables, RAIDD, Tasks, OKRs, Gantt, Pulse and Allocation now share the same Filter button, with a count when filters are on. See Filter, sort and group.
  • Features page. A switch for part of a feature shows a small corner arrow, the lists of core and other features are now one list, and search highlights the matching text. See Turn features on or off.
  • Columns fit their content. The first time a view opens, columns are sized to fit what they hold, and this does not count as an unsaved change. On the Gantt, double-click the edge of a column in the left panel to fit it. See Customise your table view.
  • Milestone dates. For a milestone that mirrors a date field, Edit now lets you change Date, and the change is saved to that field. Only Title stays locked. See Milestones.
  • Gantt columns. In Edit column for End, the Milestone row is locked and reads Not used, because a milestone has one date. Delete column on Start and End is greyed out, with a hover hint that says why. See Gantt.
  • Allocation highlights. Hovering a cell highlights its row and its period column. See Allocation.
  • Keyboard. Tab stays inside an open dialog, focus returns to where you were when it closes, and Esc closes only the top dialog. See Keyboard shortcuts.

Fixes

  • Session warning on the live site. The warning and the sign-out after a period of inactivity now work. Before, the warning never appeared there and no one was signed out. See Sign in and your account.
  • Pulse on Tasks for people who are not admins. Anyone who can see a Task can see its Pulse tab, and anyone who can edit it can add check-ins. See Pulse.
  • Dashboard table widget. The Pulse, Allocation, Current rate and Skills columns now load instead of showing as loading for ever. See Dashboard.
  • Preset tabs. Customise settings made in Preset tabs now reach the tabs pinned from them, and existing presets were repaired. The starter Task presets (Blocked, In progress and High priority) now filter as they say. See Preset tabs.
  • Customise matches the table. The eye icons in Customise now match the columns shown on OKRs, the Tasks list and presets. See Customise your table view.
  • Confirmation messages. Adding or editing a record from the Tasks list, or a skill in the Skills matrix, now shows a message such as Added with the record's name. See Tasks and sub-tasks and Skills.
  • Record panel. The panel now opens once, without sliding in twice or changing width. See The record panel.
  • Allocation figures. Row totals for Min, Max, Average, Median and Count now use that row's cells, the List footer no longer adds Actual, Forecast and Budget together, and % of grand total is correct. See Allocation.

Type a feature, a screen or a task, for example “allocation” or “share a view”.
