Programs
- Purpose
- Group projects under a program and see their status, budget and risks together.
- Who is this for
- Project and program managers
- Prerequisites
- Edit access to Programs to create or change one.
- Permissions
- View access to see programs. Edit access to create, change or delete them.
A program is the top level of the work hierarchy. It groups related projects and shows their state in one place. Open a program to see its projects, milestones, risks, OKRs and, on the Related tab, a roll-up of how its projects are doing.
Your workspace may use different names for Program and Project. An admin can change them in Terminology.
How it works
Programs sit above projects: Program → Project → Task → Sub-task. Every project belongs to exactly one program. Milestones, RAIDD items, allocation, OKRs and knowledge can also be attached to a program.
Default fields:
| Field | What it holds |
|---|---|
| Name | The program name. Required. |
| Status | Overall health: Green, Amber or Red. |
| Priority | Low, Medium, High or Critical. |
| Manager | The person running the program, from Staff. |
| Description | What the program is for. |
| Start date and End date | The program's span. |
Status is a normal field that you set yourself. It does not change when the status of its projects change. The roll-up below is where you see the combined picture.
Create a program
- Open Programs in the left menu.
- Click Add Program.
- Enter a Name.
- Optional: fill in Status, Priority, Manager, Start date, End date and Description.
- Click Add. The program appears in the table.
View a program
Click a program row to open its record panel. The tabs are:
| Tab | What you see |
|---|---|
| Overview and Details | The program's own fields. |
| Milestones | Milestones attached to the program. See Milestones. |
| RAIDD | Risks, assumptions, issues, dependencies and decisions. See RAIDD. |
| Allocation | Allocation for the program. |
| OKRs | Linked objectives. |
| Knowledge | Linked notes and documents. See Knowledge. |
| Links | The program's projects under Projects, and any typed links. A program has no Parent group. See Link records. |
| Pulse | Health check-ins for the program. See Pulse. |
| Related | Everything that links to the program, with the roll-up strip. Only when you open the program from the Pulse or Allocation page. |
Which tabs you see depends on your access and on which features an admin has switched on.
To give someone a role on this one program, see Give a program role.
The panel's Record actions menu has Edit, Duplicate, Activity log, Download one-pager and Delete. See The record panel.
Roll-up
The Related tab starts with a strip that adds up the program's projects:
- Total budget: the sum of the projects' Budget fields, shown short with a dollar sign, for example "$250k". The sign stays even if your workspace uses another currency.
- It only shows when the program has projects and Project has a number or currency field named Budget.
- On Track, At Risk, Off Track: how many projects fall in each group, under the line "Rolled up across N projects."
- The groups come from each project's Status, not its health.
- Blocked counts as Off Track, At Risk counts as At Risk, and every other status counts as On Track.
- Open risks: how many risks are linked to the program. It is hidden while RAIDD is switched off.
With the default Project Status options (Not Started, In Progress, Done, Blocked), At Risk stays at zero until an admin adds an At Risk option.
The numbers are worked out when you open the tab. They are not stored on the program, and a program with no projects shows zeros.
Below the strip, the tab lists the records that link to the program, grouped by type. Click a row to open it.
Add a project
Every project has a required Program field, so you choose the program when you create the project. The program's record panel lists its projects but does not create them.
- Open Projects in the left menu.
- Click Add Project.
- Enter a Name and choose this program as the Program.
- Click Add. The project appears in the table and under Projects on the program's Links tab.
See Projects for the other fields.
Move a project here
You need edit access to the project.
- Open the program and select the Links tab.
- Click Add link.
- Choose Projects. A picker opens.
- Search by name or key, then click the project. It moves to this program and a message offers Undo.
The project now appears under Projects on the Links tab. Click its row to open it. A project always needs a program, so its cross on the Links tab is dimmed. To take it out, move it to another program. See Link records.
Give a program role
Only admins can change role assignments.
- Open the program's record panel and click the lock icon in the panel header. The Permissions for dialog opens.
- Open the Role assignments tab.
- Click Assign role.
- Choose a Role and a Member or group.
- Click Assign. The person appears in the list.
See Access control for what each role allows.
Edit a program
Edit a field in the table by double-clicking the cell, or in the record panel by clicking the field and typing. Press Enter or Tab to save. Clicking away discards the edit. To use the form instead, choose Edit from a row's Row actions menu. Every change is recorded in Activity history.
Delete a program
- Open the Row actions menu on the program's row, or the Record actions menu in the record panel.
- Choose Delete.
- Read the confirmation. It leads with a total, for example "13 other records will be deleted with it", and lists them by type.
- In the dialog, click Delete. The program and the listed records are removed.
Good to know
- The program table has the usual table features: tabs, filters and export. Only admins see Import data. There is no row grouping on this table. See Customise your table view.
- A program with no projects shows empty tabs, not an error.
- Programs have Comments. Click the Comments icon in the record panel header to discuss a program in a thread. See Comment on a record.
- The program timeline combines all its projects. See Gantt.
- The read-only ID column is the first column in a new tab. Older tabs hide it; show it in Customise.
