- Who is this for
- Programme managers and PMO
Four recipes for getting ready for a review and running it. Your workspace may use different names for some modules.
Why use it
Review meetings repeat. Built once, a dashboard, a deck and a shared view can all be reused, so preparing the next review is mostly opening what you already have.
Example: A programme manager on Self-Service Modernization keeps a dashboard tab for the program, sends the same PowerPoint deck each week and shares a Projects tab with Share… before the steering group meets.
Recipes on this page
- Build a programme review dashboard
- Send a weekly PowerPoint deck
- Share a view for a meeting
- Run steering meetings from Pulse
Build a programme review dashboard
A program's health, upcoming dates and open problems on one tab. Good for programme managers and PMO leads.
- On Dashboard, add a tab and click Blank. Name it after the program, such as "Self-Service Modernization".
- Add a Pulse matrix widget. Set Pulse source to Projects and use Filters to keep only the program's projects.
- Add a Scorecard. Add a metric that counts Projects with Health is any of Red, and one that counts open Issues.
- Add a Table widget on Milestones, with a filter on Date within next 30 days.
- Add a Time series bar with Data source Pulse, Time dimension (X axis) Check-in date and Series (color dimension) Overall RAG.
Widget filters work like table filters, so relative dates keep the dashboard current. The Pulse chart shows check-ins moving between Green, Amber and Red over time.
Dashboards are personal and have no Share…. To give the same layout to every programme manager, ask your admin to build it as a Dashboard preset. See Dashboard and Preset tabs.
Send a weekly PowerPoint deck
Build a status deck once, then generate it again each week. A Table slide does not follow the tab on screen: it takes its columns and highlight colours from the module's All tab, and has its own filter.
- On the All tab of Projects, add the highlight rules you want in the deck, for example Health is Red. Click Save changes and choose Save tab without filters.
- Click Download and choose PowerPoint.
- Click Next until you reach the Table slide. Choose up to 10 Columns.
- Click Filter on the slide and set the rule, for example End date within next 30 days.
- Leave Include cell highlights on.
- On the last page, click Generate. The deck downloads when it is ready.
Next week, open PowerPoint from the same table in the same browser. The dialog remembers the deck and its slide settings, so you click through and Generate.
See Export data.
Share a view for a meeting
One link so everyone looks at the same rows. Good for reviews where people join from their own screens.
- Set up the tab you want to show. You do not need to save it first.
- Right-click the tab and choose Share…. The link is copied to your clipboard.
- Paste it into the meeting invite or chat, then click Close.
Each person sees your columns, filters and sort in a read-only preview, with the rows their own access allows, and can click Save a copy to keep it. The link is a snapshot, so share again after changes.
Share… works on module tables such as Projects and Staff. See Share a link to any view.
Run steering meetings from Pulse
A routine that gets fresh check-ins before the meeting and shows what changed since the last one.
- Ask your admin to set the Pulse expiry to match your meeting rhythm, for example expire in 14 days and warned 7 days before for a fortnightly steering group.
- A few days before the meeting, open Pulse and filter on freshness for Due, Outdated and Never updated.
- Click Request update, choose those records, write a Message and click Request update. Nobody is notified, so tell the owners yourself.
- In the meeting, set View records for to the date of the last meeting to see the picture then. Set it back to today for the live view.
- To hand out the matrix, click Download and choose PowerPoint. The deck includes a Pulse matrix slide.
Project leads can start from Copy last check-in. See Pulse.
