Sign in and your account

Purpose
How you sign in with your organisation's identity provider, what happens when your session ends and what to do if you have no access.
Who is this for
Everyone

You sign in to Gembaa with your organisation's identity provider (single sign-on). Gembaa has no password of its own and no sign-up page. Your account is created for you by your organisation.

How it works

Your admins connect Gembaa to your organisation's directory. When you are added there, Gembaa creates your account and links it to your Staff record. You then sign in with the same work account you use for other company tools.

  1. Open the Gembaa address your organisation gave you.
  2. If your organisation's sign-in page appears, enter your work account details as usual. You return to Gembaa.

The first time you sign in, the first-time onboarding opens.

Stay signed in

Your session lasts for a limited time. Five minutes before it ends, a dialog titled Still there? opens over the page. It shows:

  • The warning "You'll be signed out for inactivity." and "Anything you haven't saved will be lost."
  • A countdown in minutes and seconds, for example 4:32, with a bar beneath it.
  • The buttons Stay signed in and Sign out.

The digits and bar turn amber under one minute and red under 20 seconds.

  1. Click Stay signed in, or press Enter. A small window opens and re-checks your sign-in.
  2. If your provider asks you to sign in again, do so. The window shows Session renewed.
  3. Wait for the window to close by itself. You carry on where you were.

If your browser blocks the small window, Gembaa renews in the main window instead. That window ends on Session renewed and "This window closes automatically", but a browser cannot close it. Your session is renewed, so go back to Gembaa by opening your Gembaa address again. Click Sign out if you would rather leave straight away. If you do nothing, you are signed out when the countdown ends.

Sign back in

When the countdown ends, or after you choose Sign out, Gembaa ends your session. Sign in again through your organisation as in the first section.

If Gembaa opens without a session, it shows Authentication required and the line "Sign in through your organisation's identity provider to continue." The screen has no sign-in button of its own.

Sign out

  1. Click your name in the upper right corner of the header.
  2. Choose Sign out. Gembaa ends your session.

The user menu is hidden on a screen narrower than 640 pixels, and with it Sign out and User settings. Use a wider window to reach them.

No access

You can sign in and still be turned away. Gembaa shows one of two screens.

Both screens have a Sign out button, so you can sign in with a different account.

Good to know

  • You cannot change your email address in Gembaa. Ask an admin.
  • Your name and email come from your organisation's directory. Admins manage who has an account in Members, SSO and provisioning.
  • Your own preferences (theme, light or dark, language, photo) are in Your settings.

Type a feature, a screen or a task, for example “allocation” or “share a view”.
